1. Scope of Services
- Nature of service. certificates-nz.online offers an online advisory, administrative and document-processing service to assist clients in obtaining official New Zealand birth, marriage or death certificates (collectively, “Certificates”) from the competent New Zealand authorities. We act as a private specialized intermediary or agent, facilitating the submission of necessary information and documents on behalf of clients. Our officers may offer support, nonetheless, we are not a law firm and we do not act as one, hence under no circumstances, we are offering any juridical guidance.
- Timeframes. We undertake to process applications within a maximum period of 48 hours. Once the processing service has been completed, if the administration determines that everything is correct, the estimated delivery time is between 1 and 2 weeks. From the moment you submit your application, to assure the quality of our service, it is presumed that we will begin the application process within the respected timeframe. In case it is necessary to send one or more documents to process your application, you will be notified in this regard. Your application will start even if we do not receive the requested document(s), but it will not be finished until we receive all the supporting documents.

We are not affiliated with, endorsed by, or part of the Government of New Zealand. We do not issue certificates ourselves; our role is limited to support, document preparation, liaison, and submission.
Disclaimer: certificates-nz.online is an independent administrative service provider. Our team offers support in document management and application processing, assisting clients in submitting the necessary information to obtain official certificates from the competent authorities in New Zealand. The service has a fixed fee of NZD 95 per certificate, which covers the certificate cost, the complete processing service, and personalised assistance to ensure your application is successfully finalised. We are not affiliated with, endorsed by, or part of the Government of New Zealand. We do not provide certificates directly, as we act as intermediary agent.

Fees. The total fixed fee is NZD 95 (ninety-five New Zealand dollars) per certificate, inclusive of our service charge, applicable processing, taxes, and handling. The government fee (i.e. the fee paid to the New Zealand issuing authority) is NZD 33. The remaining amount covers our administrative work, document handling, communication, and related costs.

Postal delivery responsibility. The printing and postal delivery of the certificate are entirely handled by the official New Zealand authorities. certificates-nz.online has no control or responsibility over postal times, delivery methods, or potential losses or delays once the certificate is dispatched by the competent authority.
Our company does not sell, issue, or send certificates directly; we provide only advisory, administrative, and application-management services related to their processing. -
Exclusions / limitations. We cannot guarantee that the issuing authority will approve the certificate request (e.g. due to incomplete information, lack of records, or legal constraints in New Zealand). If an authority rejects a request, our liability is limited as set out below.sdfdsfdsafds
2. Orders, Payment & Refunds

Order placement. You place an order through our Website by selecting the type of certificate (birth, marriage, death), providing required information and documents, and proceeding through the payment process.

Payment. Payment must be made in full in advance (NZD 95) via the payment methods supported on the Website. The government portion (NZD 33) is included in that payment.

Confirmation. Upon receipt of payment, we will send you a confirmation and begin processing your order. We reserve the right to verify your identity or request additional documents before proceeding.

Refunds / cancellations.
- Not all users that have applied through our website are eligible to be reimbursed, and if it comes to that, the amount of the refund will depend on the status of the application process and the time that has elapsed since the transaction.

Before we submit your application to the New Zealand authority, you may request cancellation and refund of the service portion (i.e. excluding any costs already spent or non-recoverable).

Once the application is submitted, no refunds are permitted, because our work is then considered executed (document preparation, liaison, fees paid to authorities, etc.).

In case of a partial refund (if applicable), any deduction for time, handling, or administrative costs will be made in proportion to the work performed.
- The full refund will be granted if the application process has not been started by our team yet and we have received the refund request for the cancellation within 24 hours after the application made on our site. Cancellation requests that exceed this period will be eligible only for a partial refund, with availability depending on whether the order has been processed or the time that has elapsed since the transaction.
- Once the order is paid and processed, and also you have received your approved order confirmation with your filled application form and the instructions, the refund will be no longer possible because we understand that our service has been correctly done and finished. If you want to request a refund once your application has been submitted, unfortunately it will not be possible to refund the Government fee, but you can apply to be considered for receiving a partial refund of the amount paid to us to resolve depending on each situation.
3. Obligations of the Client & Accuracy of Information

Truthfulness. You must provide true, accurate, current, and complete information and documentation as required. You warrant that all information submitted is correct to the best of your knowledge.

Timely cooperation. You must promptly respond to any requests for clarifications, additional documents, or supporting evidence, and provide cooperation necessary for us to complete the service.

Consent and rights. You must have the legal right to request the certificate (for instance, if requesting on behalf of another person, you must hold necessary authorization). You retain responsibility for obtaining any consents, authorizations or legal permissions required.

Document intellectual property. You grant us permission to use, process and forward the documents you upload or provide solely for the purpose of providing the service under these Terms.

Language. All documents and correspondence must be in English. If your documents are not in English, you must provide certified translations upon request by the New Zealand authority.
4. Intellectual Property, Website Use & Restrictions

Ownership. All content, logos, text, graphics, and software on the Website are the property of Int. Formalities & Procedures OÜ or its licensors, protected by copyright, trademark, and other laws.

Once the application is accepted by the official New Zealand authority, all printing, certification, and postal delivery are managed directly by that authority. certificates-nz.online bears no responsibility for delivery delays, errors, or non-delivery of the physical certificate.

Limitation of liability.

To the maximum extent permitted by law, our liability to you for any claim arising from or related to our service or these Terms is limited to the amount you have paid (i.e. NZD 95).

We are not liable for indirect damages, consequential loss, loss of data, loss of profit, or third-party claims, except in cases of gross negligence or wilful misconduct.

We disclaim liability for delays caused by the issuing authority, postal or courier services, force majeure, legal restrictions, or client failure to deliver required information.

Indemnification. You agree to indemnify, defend and hold harmless Int. Formalities & Procedures OÜ, its officers, employees, and agents from and against any claims, liabilities, damages, losses or expenses (including legal fees) arising from your breach of these Terms, your negligence, or your misuse of the service.
6. Privacy & Data Protection

We collect, process, store and transfer your personal data in compliance with applicable laws — including the Privacy Act 2020 (New Zealand) and the General Data Protection Regulation (EU) 2016/679 (GDPR) — as well as relevant Estonian legislation.
